Cancellation Policy and Rules

1. Participation

Participation in the Finland Ice Marathon requires a valid registration and payment of the participation fee in accordance with the registration terms.

Participants are responsible for ensuring that they are physically fit enough to take part in the event and for following the instructions given by the event organiser, event staff and safety personnel.

Participants take part in the event at their own risk. Participants are responsible for their own safety and for any personal injury or damage to property to the extent that the organiser is not liable for such damage under applicable law.

2. Safety and Equipment

Wearing a helmet is mandatory for all participants. A helmet must be worn throughout the entire performance.

The use of elbow and knee pads, as well as other appropriate protective equipment, is recommended.

Participants must use equipment that is suitable for the conditions and the activity and ensure that their equipment is in proper condition.

The organiser has the right to prevent a participant from taking part in the event or to stop a participant's performance if the participant's equipment, conduct or physical condition poses a risk to themselves, other participants or the safe running of the event.

3. Insurance

Participants are not insured by the organiser.

Participants are responsible for obtaining any necessary personal accident, liability or other insurance. The organiser recommends that participants ensure they have adequate insurance coverage before taking part in the event.

4. Course and Event Arrangements

The organiser reserves the right to make changes to the event arrangements, courses, starts, schedules and other event arrangements when required for safety reasons or for other justified reasons.

If the course needs to be changed or shortened due to weather conditions or another reason beyond the organiser's control, the event will, where possible, be held on the modified course.

Changes to or shortening of the course do not entitle participants to a refund or reduction of the participation fee.

The organiser has the right to suspend the event or an individual start during the event if weather conditions, ice conditions, the safety situation or another corresponding reason so requires.

5. Event Cancellation

If the event cannot be safely held due to weather conditions or another safety-related reason, the organiser has the right to cancel the event.

If the Finland Ice Marathon is cancelled due to weather conditions or another circumstance beyond the organiser's control, participants have the option to transfer their entry to the following year's Finland Ice Marathon free of charge.

The transfer option must be used by the deadline specified by the organiser. The transfer option cannot be used after the deadline unless otherwise stated by the organiser.

If the event is cancelled and the participant does not use the option to transfer their entry to the following year's event, the participation fee will not be refunded unless otherwise stated by the organiser.

6. Participant Cancellation

No refund will be made if a participant withdraws from the event or does not use their entry.

The transfer of an entry to another person or to another category is only possible in accordance with the terms and deadlines separately specified by the organiser.

Payments made using employee sports and wellness benefits will not be refunded in accordance with the instructions of the Finnish Tax Administration.

7. Transfer Protection – Transfer of Participation to the Following Year

When registering, participants have the option to purchase Transfer Protection for €10, which allows them to transfer their participation to the following year's Finland Ice Marathon.

Transfer Protection can be purchased only at the time of the original registration. It cannot be purchased afterwards.

Transfer Protection is personal and valid for one transfer only. It applies only to the event and participation for which it was purchased and cannot be transferred to another person.

Transfer Protection is the only way for a participant to transfer their participation to the following year's event at their own request. This does not affect the free transfer option described in Section 5 in the event that the organiser cancels the event.

A participant who has purchased Transfer Protection and does not collect their race number will automatically be transferred to the following year's event after the event has ended. The transfer applies to the same participant and the transferred entry.

The fee for unused Transfer Protection will not be refunded.

Medical certificates will not be accepted as grounds for transferring participation, and transfer requests submitted after registration will not be processed.

Participation transferred to the following year's event does not entitle the participant to a refund of the participation fee or the Transfer Protection fee.

8. Communication of Cancellation and Changes

The organiser will announce event cancellations or significant changes on the event website, social media channels and, where possible, through other communication channels used by the event.

Participants are responsible for following the latest event-related information and announcements before the event.

9. Participant Responsibilities

Participants undertake to:

comply with the event rules and instructions given by the organiser and event staff
follow the instructions of safety personnel
use all mandatory safety equipment
consider other participants and act safely throughout the event
report any safety concerns or hazardous situations to the organiser whenever possible.

The organiser has the right to remove a participant from the event if the participant fails to comply with the event rules or safety instructions, or if their conduct endangers their own safety or the safety of others.

10. Photography and Videography

The event will be photographed and filmed by the organiser. Photographs and video footage may be used for the communication, marketing and promotion of the Finland Ice Marathon and for increasing awareness of the event.

The material may be published, for example, on the event website, social media channels and in other communication and marketing materials related to the event.

11. Limitation of Liability

The organiser is responsible for organising the event in accordance with applicable law. Nothing in these terms limits the organiser's liability to the extent that such liability cannot legally be limited.

The organiser is not responsible for participants' personal belongings or equipment unless the loss or damage falls within the organiser's liability under applicable law.

12. Amendments to the Rules

The organiser reserves the right to update and amend these rules where necessary, for example to ensure the safe running of the event, to comply with official regulations or due to other circumstances affecting the organisation of the event.

Any amendments will be communicated on the event website if they have a significant impact on participants' rights or obligations.
